We know that jumping into something new always comes with lots of questions,

so let’s address the most common upfront!

  • How long do I need to commit for?

    We do not lock you into any long-term contracts and there are no up-front recruitment costs. Our contracts roll month-to-month and you can cancel at any time by giving one month's written notice. We also offer a trial period for the first month wherein if you're not happy with the services after the first month, you can cancel on the spot.

  • Do I get a say in who my staff member is?

    Yes! We've listened to feedback from our clients and the most common request has been having a consistent staff member. Whether you sign up to our Intro, Basic, Standard or Full-time packages, the choice of staff members is entirely yours. For our Intro and Basic Part-time packages, we will provide you with a select shortlist from our current pooling for you to choose your desired candidate. For our Standard Part-time and Full-time packages, we will advertise and shortlist our recommendations, but it will be entirely up to you if you choose to proceed with any particular staff member, and we will keep recruiting until we find your perfect fit. Regardless of your package type, the choice of staff is always yours!

  • Do I need to provide a computer, internet connection or software for my staff member?

    Our packages include an internet connection for your staff members who are also required to have their own computer and basic range of software to carry out the core functions of their work. However, if you have industry or company-specific software, licenses, subscriptions, or hardware required for the staff member to carry out their role, then it is expected that you would provide these additional items and accesses as you would for any other staff member.

  • What’s included in my package ongoing?

    In addition to your staff wages, your package also includes everything you need from an HR perspective. This includes: payroll and foreign exchange fees, employee benefits such as health insurance and cash bonuses, ongoing internet connections, project management tools, screen monitoring software, weekly reporting, and performance management assistance.

  • What if I am not happy with the staff member?

  • Will my data be safe and kept confidential?

    Like any staff member, whether they are in Australia or abroad, there is always a risk associated with any data that they are handling. Staff are bound by strict covenants of confidentiality in their contracts of engagement with us, but our advice is to restrict access to any sensitive data in the same way that you would with any other employee.  What we have found as a practical and successful method from other clients is to have a local PC that is remotely accessed by your staff member each day. This ensures the security of the data within your network, allows you to switch off access quickly if ever required, ensures that you always have access and control over the files that the staff member is working on, and can be a great visual to see what your staff member is working on at any time and give immediate feedback or assistance. The risk is similar, no matter where your staff member is based, but you can always put the necessary measures in place to reduce the risk.

  • Who owns the intellectual property of work done by my staff?

    They are your staff member so any original work that they produce whilst engaged with your business is yours and protected by any relevant copyright or intellectual property laws. 

  • Where will my staff member be based?

    With the beauty of flexibility in remote work, all our VA staff (and even the majority of our internal staff!) are based in the Philippines. Studies show that the Philippines are the most preferred outsourcing destination! There are a number of reasons for this: Filipinos speak English very well, are highly professional, work hard, and have a very strong sense of ‘malasakit’ or ‘care’ for the people they work with (something we can definitely attest to!) Our Filipino employees are valued members of ours and our clients' teams, and we have always ensured that our employment practices and standards are well and truly above the average. In addition to being able to work from home, our staff have access to better healthcare, leave entitlements, benefits, bonuses, and higher wages than if they worked for an outsourcing company. It’s pretty much a win/win situation all around!

  • What are the best jobs to outsource?

    We've found that the most commonly outsourced roles are within conveyancing, graphic design, bookkeeping, marketing, paralegal work, PA, customer service, sales, and general administration. You can even hybrid your role depending on your business, and believe us when we say we have actually found those unicorn candidates before! We will work with you on your task requirements, role scope, and budget, so if you're not sure where to start, we will help you every step of the way.

  • Can we outsource for short projects?

    Absolutely! If you are after a staff member for a one-off project, have an existing staff member away for a long period of time, or are just after some short-term assistance to get you through a busy period, we can assist you with a project-based agreement. You would still need to choose from one of our four available packages to choose your hours/budget, however we can include a termination date within the contract for you so that the one month's notice clause is waived. 

  • How many hours of work per week can the VA put in?

    Our packages range from one, two, four, or eight hours per day, so it all depends on your needs.

  • Do they work in a specific time zone?

    All our VAs work to your timezone and are even quite used to working graveyard shifts due to the large amount of outsourced work coming from North American and European clients. 

  • What currency will I be billed in?

    You’ll be billed monthly in AUD, so you’ll never have to navigate foreign currency or exchange rates. That’s one of the best parts of our VA services!

  • What happens if the employee gets sick or wants to take a holiday?

    Sick or annual leave requests come down to the staff member's leave entitlements based off their role type. Standard part-time staff are entitled to 5 annual leave and 2.5 sick leave days per annum, whereas full-time staff are entitlted to 10 annual leave and 5 sick leave days per annum. Intro & Basic Part-time staff do not have leave entitlements. If your staff falls into a Standard Part-time or Full-time package role and do not have enough leave accrued, or are still on probation, they will require your approval before taking the time off, of which we will deduct these hours off your next month's statement and they will take Leave Without Pay (LWOP). If your staff member does have enough leave accrued and is outside of their probationary period, they will still require your approval before filing their leave, however we will just deduct those hours from their leave balance. Leave balances are monitored by us internally and are always included in your weekly reports so that you can always check them, but you don't have to worry about keeping track of them. Win/win!

  • Which country’s holidays do you observe?

    Generally, your staff would follow Australian Public Holidays, but it is all negotiable. As part of our employment contracts with our VA staff, we give them all the national Australian public holiday dates off, but allow them to swap a few of our local/state holidays with some of their more important Filipino National Public Holidays. You will be provided with a Public Holiday Calendar with your onboarding documentation where we outline all the contracted public holidays and negotiable ones, to make it easier for you to plan ahead and always have to reference in case you ever forget.

  • What’s the best way to communicate with a VA?

    There are many platforms you can use for free to communicate with your VA. Skype is one of the more popular ones, but you can also use messaging apps, such as WhatsApp, Microsoft Teams, Slack, Messenger, or others. If you don't have a preferred platform, we have an excellent project management software that you’re most welcome to use free of charge which lets you monitor tasks as well as communicate directly with your VA.

  • How do you track my VA's productivity?

    We use both a project management system and a time-tracking tool that measures hours and activity, and allows us to take frequent snapshots of your VA's screen for full transparency (don’t worry, our VAs happily agree to this). We provide you with weekly reporting of their time-logs and tasks, however upon request, we can also provide you with weekly, if not daily, snapshots from our time-tracking tool as well.
